Terms and Conditions

Please read the terms and conditions carefully. After accepting, you will be redirected to the payment page.

Booking

A booking is confirmed upon acceptance of these terms and conditions and receipt of your payment. HQ Learning reserves the right to refuse bookings at their discretion.

Cancellation

If you wish to cancel your booking, please email hqlearningrugby@gmail.com as soon as possible. Cancellations within one week of the test date cannot be refunded.

Absence

If your child is unable to attend the exam, please contact HQ Learning on the phone number provided as soon as possible. Exam fees cannot be refunded.

Drop off and collection

Students must be dropped off and collected by parents or guardians listed on the booking form. Parents/guardians are required to sign a consent form when dropping off to confirm emergency contact details. Please notify staff if the adult collecting your child will be different from the adult dropping off.

Safeguarding

HQ Learning is committed to keeping all children safe. Regular safeguarding training is completed, and the tutors hold enhanced DBS checks. It is the tutor’s responsibility to report any safeguarding concerns to the Local Authority. Invigilators at the exam have received safeguarding training.

Mobile phones and valuables

HQ Learning does not accept responsibility for children’s property or valuables. Students are not permitted to have electronic devices in the exam room.

Photography

Please be aware that HQ Learning occasionally takes photographs and video footage for marketing purposes. This will only be done with permission from parents. Children’s names will never be used in conjunction with photographs.

Insurance

HQ Learning is covered by public liability and professional indemnity insurance.

Data protection

HQ Learning only collects necessary information about students and parents for the purpose of tuition. Information about students and parents will never be shared without permission. HQ Learning is registered with the Information Commissioner's Office.

First aid and emergencies

In the event of an accident or emergency, first aid will be administered to children in our care and the emergency services will be called if necessary. Parents will be contacted immediately, using the contact information provided. HQ Learning is unable to administer any medications.

Programme and activities

Mock exams will take place in a classroom environment. All written materials will be provided. The mock exam aims to provide children with an experience similar to the GL test taken in Warwickshire. Attendance does not guarantee success in the official exam.

Behaviour

HQ Learning staff are trained to manage behaviour issues appropriately. Students are expected to adhere to exam rules and conditions throughout the session. HQ Learning has the right to refuse any students who display repeatedly disruptive behaviour.

Food and drink

Students may bring a drinks bottle and a small snack, if they wish. To ensure the safety of all students, please ensure snacks do not contain nuts.
